WhatsApp for Business

Voxtell Chat ยท Every channel, one inbox

WhatsApp for Business lets customers message your company on WhatsApp, the app many of them already use every day. Their messages land in the Voxtell Chat shared team inbox alongside SMS, website live chat, Facebook, and Instagram, so your team answers everything in one place. Voxtell Chat adds to the Voxtell AI Phone System plan for $25 per user per month.

What it does

For a lot of customers, WhatsApp is where conversations happen. That is especially true in Florida, where many people keep in touch with family, friends, and business contacts in Brazil and across Latin America on WhatsApp first and everything else second. When your business can be reached there, those customers do not have to switch apps or place a call to ask a question. They message you the way they message everyone else.

Every WhatsApp conversation arrives in the same shared inbox as your SMS, website live chat, Facebook, and Instagram messages. Your whole team sees the thread, and whoever is available answers. Nothing lives on an employee's personal phone, so when someone is out, a coworker picks up the conversation without asking the customer to start over.

Photos and media travel with the conversation. A customer can send a picture of the problem, and you can reply with a picture of the answer. An AI Assistant is included too: it answers common questions instantly using a built-in knowledge base, and it hands the conversation to a person when a person is needed.

How it works in Voxtell

WhatsApp is one of the five channels in Voxtell Chat, which costs $25 per user per month and adds to the AI Phone System plan at $25 per user per month billed annually, or $32 monthly. The promise is simple: "Everything you need for seamless customer support, all in one place." WhatsApp, SMS, website live chat, Facebook, and Instagram all feed one shared team inbox, with the AI Assistant and knowledge base included.

Setup is white glove. Our team configures it with you: connecting your channels, setting up the shared inbox for your team, and helping you put your most common answers into the knowledge base so the AI Assistant can use them. Support after launch comes from the same in-house Orlando team, the people customers thank by name in Google reviews. Voxtell holds a 5.0 rating from 144 of them.

Voxtell Chat works alongside the AI Phone System, so a customer who starts on WhatsApp can call the same business number your texts run on. On the phone side, a bilingual AI Receptionist answers in English and Spanish, and call recording with transcripts keeps a record of every conversation. Businesses on the phone system have seen results like 2x more calls made per day, 25 percent fewer abandoned calls, and 21 percent faster speed to answer.

How businesses use it

Realty

A realty office selling vacation homes works with buyers who live abroad, many of them in Brazil, and who do everything on WhatsApp. Listing questions, photo requests, and closing logistics all happen in one thread the whole office can see. When the lead agent is showing property, a colleague answers without missing a beat.

RV resorts

Guests traveling toward Florida message the front office on WhatsApp with arrival times and site questions, often with a photo of their rig attached. Staff answer from the shared inbox between check-ins. The AI Assistant handles the everyday questions about hours and amenities so the desk can focus on the guests standing in front of it.

Restaurants

A pizzeria takes catering inquiries on WhatsApp from customers who never text but message all day. The customer sends a headcount and a date, the kitchen replies with menu photos, and the confirmation sits in writing in the shared inbox. During the dinner rush, the AI Assistant answers the common questions about hours and location instantly.

Logistics

A logistics company running 15 locations keeps customer conversations in one shared inbox instead of scattered across personal phones at every branch. A customer who messages on WhatsApp about a shipment gets an answer from whoever is available, at any location, and the full thread is there for the next person who picks it up.

Vehicle wrap shops

A wrap shop trades design photos with customers on WhatsApp: the customer sends pictures of the vehicle, the shop sends proofs back, and approval lands in the thread before the vinyl goes on. Everything stays in the shared inbox, so the front office and the installers see the same approved design.

Pet grooming

A grooming shop hears from owners on WhatsApp, SMS, and Instagram, and answers all three from one inbox. Pickup photos of the fresh haircut go out on whichever channel the owner used, and schedule changes come back the same way. Nobody at the counter has to check three apps.

Best practices

  • Tell customers they can reach you on WhatsApp. Put it on your website, your Google listing, and your social profiles so people know the option exists.
  • Keep WhatsApp conversations in the shared inbox, never on personal phones. The business keeps the history, and any teammate can pick up the thread.
  • Load your most common questions into the knowledge base so the AI Assistant can answer them instantly. Review the conversations it hands off to see what to add next.
  • Use photos when a photo answers faster. A picture of a proof, a finished job, or a menu settles most questions in one message.
  • Decide who watches the inbox during business hours. One inbox for five channels only helps if someone owns it.
  • Move the conversation to a call when it gets complicated. Calls and texts run on the same business number, so the customer already has it.
