Multi-Location Management
AI Phone System ยท Run it easily
Multi-location management lets you run the phones for every store, office, or branch from one system. Each location keeps its own local numbers, business hours, call routing, and hold experience, while your team manages all of it from a single place. Callers reach the right location, and your staff works as one company.
What it does
Every location gets what it needs to sound local: its own phone numbers, its own hours, its own routing rules, and its own hold experience. A caller in Tampa hears Tampa. A caller in Miami hears Miami. Behind the scenes, it is one phone system, not a pile of separate accounts you have to log into one at a time.
That central control is the point. When hours change, a manager leaves, or you open a new location, you make the change once instead of chasing it across separate systems. One Voxtell customer, a logistics company, runs 15 locations on the platform this way.
Your locations also work as one team. Staff dial each other by extension between locations instead of calling public numbers. Call recording with transcripts covers every site, so you can see how each location handles callers. Customers who moved to Voxtell have cut abandoned calls by 25% and answered 21% faster.
How it works in Voxtell
On Voxtell, each location is set up as a site, with departments inside it if you need them, like front desk, sales, or service. Each site carries its own local numbers, hours, routing, and hold experience. You manage everything centrally, and calls to any location follow the rules you set for that location.
Setup is white glove. Our team in Orlando configures the system with you: we map out your locations, move your existing numbers over, set hours and routing for each site, and get desk phones and the mobile and web apps working for your staff. You do not build any of it alone, and the same in-house team answers when you call later.
The AI Receptionist is included in the plan and can pick up when a location's staff cannot get to the phone. It speaks English and Spanish, and every account includes 100 AI minutes per month, then $0.35 per minute after that.
How businesses use it
Restaurants
A pizzeria group gives each store its own local number and its own hours. Calls during service reach the right store, and when one location closes for the night, its routing follows the hours you set. The owner changes menus of options and schedules once, centrally, instead of store by store.
Pet grooming retail
Woof Gang Bakery and Grooming runs on Voxtell. In a grooming business, customers call the store near them to book, so every location keeps a local number and its own front-desk routing. Staff at one store dial another by extension to check availability for a customer.
Logistics
One Voxtell logistics customer runs 15 locations on the platform. Dispatchers at different terminals reach each other by extension, each terminal keeps its own local numbers and hours, and the operations team manages routing for all of them from one place.
Realty
Brokerages like The Keyes Company and a Walt Disney World Resort community use Voxtell. A multi-office brokerage keeps a local presence in every market it serves, while agents take calls on the mobile app wherever they are and offices connect by extension.
RV resorts
A resort operator with multiple properties gives each front desk its own line, hours, and hold experience. Guests always call a number that belongs to their property, and the included AI Receptionist can answer when the desk is busy with check-ins.
County health
A county health organization routes callers to the right department across its sites. Each department keeps its own routing and hours, staff transfer callers by extension instead of reading out phone numbers, and administrators manage the whole system centrally.
Best practices
- Give every location a local number. Callers recognize the area code, and each site keeps a real presence in its own community.
- Set each location's hours to match reality, including seasonal changes, so after-hours calls follow the routing you actually want.
- Have staff use extension dialing between locations instead of the public numbers. It is faster and keeps transfers inside the system.
- Keep routing decisions centralized. When something changes, update it once instead of at every site.
- Tailor each location's hold experience with information that matters at that site, not one generic message for the whole company.
- Review call recordings and transcripts across locations. Compare how sites handle callers, then share what the best ones do.
