Call routing rules decide where a call goes when one of your business numbers rings. Instead of every call hitting a single phone, rules send callers to the right person, group of phones, queue, or voicemail based on the number dialed and the time of day. The point is simple: every call lands somewhere useful, even when the obvious person cannot pick up.

What it does

Every user and every phone number on your account can have its own answer rules. Forward a line to another number while someone is out. Forward only when a phone is busy or goes unanswered. Ring several phones at once with simultaneous ring, or try people one at a time in a set ring order. Send calls to a queue, to voicemail, or to any other number.

Rules can differ by time frame. During open hours your main number can ring the front desk, then overflow to the rest of the team. After close, the same number can forward to an on-call phone or go straight to voicemail. Nobody has to remember to flip a switch at closing time; the schedule handles it.

How it works in Voxtell

On Voxtell, answer rules live at two levels: each user and each phone number. Your main line, your sales line, and each employee can all behave differently. A rule can forward always, forward when busy or unanswered, ring devices at the same time, follow a ring order, or send the call to a queue, voicemail, or another number. Each rule can be tied to a time frame, so behavior changes with your hours.

Restaurants

A pizzeria rings the front counter during the dinner rush, then forwards to the manager's cell if nobody picks up. After close, a different time frame sends calls straight to voicemail, and the messages are in the manager's email by morning.

Realty

Agents show homes all day, so the office sets simultaneous ring on each agent's desk phone and mobile app. A buyer reaches the agent wherever they are, and unanswered calls fall back to the front desk instead of a dead line.

Logistics

One Voxtell logistics customer runs 15 locations on the platform. Each location's number routes to its own dispatch desk, and busy or unanswered calls forward to a central team so a driver is never stuck waiting on a callback.

Pet grooming

Groomers cannot drop the clippers to grab the phone. The store number rings the front desk first, and when the desk is busy, calls forward to a queue so booking requests are not lost to a busy signal.

RV resorts

The front office answers during posted hours. A separate time frame takes over in the evening and forwards calls to the on-duty manager's number, so a guest arriving late still reaches a person.

County offices

A county health office routes each department's number to its own team during business hours, then to voicemail after hours. Staff see the messages in email and follow up first thing the next day.

Best practices

  • Give every user a busy or unanswered rule. A call should always have somewhere to go next, whether that is a teammate, a queue, or voicemail.
  • Use simultaneous ring for anyone who splits time between a desk and the field, so their desk phone and mobile app ring together.
  • Set separate time frames for open hours, closed hours, and holidays, and give each its own destination. Callers should never hear endless ringing at a closed office.
  • During business hours, send overflow to a queue instead of voicemail. Callers in a queue can still be answered; callers sent to voicemail often hang up and dial the next business.
  • Test your after-hours path. Call your main number after close and confirm it does exactly what you expect.
