Call Queues
AI Phone System · Work the calls
A call queue holds incoming callers in line when everyone on your team is busy, then connects each caller to the next available person. Instead of a busy signal or a full voicemail box, callers hear hold music and know they are still in line. Call queues are included in the Voxtell AI Phone System flat plan.
What it does
When more calls come in than your team can answer, a call queue keeps every caller instead of losing them. Callers hold in line with hold music, hear where they stand, and reach the next available agent. No busy signals, no full voicemail boxes, no asking people to call back later.
Your team controls availability. Agents log in to a queue when they are ready to take calls, log out when they are done, and set an offline status when they step away. Callers only route to people who can actually pick up.
Queues also make your phones measurable. Statistics show calls waiting, abandoned calls, and answer speed, so you know when to add coverage and whether wait times are creeping up. Real Voxtell customers have cut abandoned calls by 25% and answered 21% faster.
How it works in Voxtell
Call queues are included in the Voxtell AI Phone System flat plan, and our team builds them with you. During white-glove setup we map your call flow together: which queues you need, who answers them, and what callers hear while they hold. Setup, migration, and configuration are all included.
Once live, your team answers queue calls on desk phones, the mobile app, or the web app, whichever is in front of them. Agents log in and out of queues themselves, and managers watch calls waiting, abandoned calls, and answer speed in the queue statistics. Call recording with transcripts is included, so any queue call can be reviewed later.
Queues also work with the rest of the plan. The auto attendant can point callers to the right queue, and the included AI Receptionist can greet callers, answer routine questions in English or Spanish, and pass a caller to your team when a person is needed. Every account includes 100 AI minutes per month, then $0.35 per minute.
How businesses use it
Restaurants
Friday night at a pizzeria means every line rings at once. A call queue holds order calls in line with hold music instead of a busy signal, and staff pick up each one in turn. Fewer hang-ups means fewer lost orders.
Realty
Property teams on Voxtell include a Walt Disney World Resort community and The Keyes Company. When owners and renters call at the same time, the queue holds them in order and connects each caller to the next available agent. Managers watch answer speed so wait times never quietly grow.
County health
Residents calling a county health office need a person, not a full voicemail box. A queue holds each caller in line and staff answer calls in the order they arrived. Supervisors see calls waiting and abandoned calls, so they know exactly when to add staff.
Pet grooming
At a grooming retailer like Woof Gang Bakery and Grooming, staff are often mid-groom when the phone rings. Front desk staff log in to the queue during store hours and callers hold briefly instead of bouncing to voicemail. Calls that would have been missed become booked appointments.
Logistics
One Voxtell logistics customer runs 15 locations on the platform. Dispatch queues hold driver and customer calls and route each one to the next available dispatcher. Queue statistics show which locations need more coverage.
RV resorts
Booking season floods the front desk. A queue holds reservation calls in line while staff finish helping the guest standing in front of them. The included AI Receptionist can also answer routine questions in English or Spanish before a caller ever waits.
Best practices
- Have agents log out of the queue or set an offline status when they step away, so callers never hold for someone who cannot answer.
- Review queue statistics weekly. Calls waiting, abandoned calls, and answer speed tell you exactly when to add coverage.
- Keep callers informed while they hold. Hold music and position announcements tell people they are still in line and moving forward.
- Set up separate queues for different teams, such as sales and support, so callers reach someone who can help on the first try.
- Let the included AI Receptionist handle routine questions, so the queue is reserved for calls that need a person.
- Use call recording with transcripts to review queue calls and coach your team on the questions callers ask most.
